CleanCloud offers an Auto Archive tool to streamline order management by automatically moving completed orders older than a set number of days off your active pages. These archived orders maintain their payment status and can still be accessed via the Search page. By efficiently archiving old orders, users can prevent performance slowdowns caused by an overload of active data, ensuring faster system responsiveness and better operational efficiency.
Causes of Performance Issues
Large Number of Active or Old Orders
When CleanCloud maintains a large backlog of active or old orders, the system can struggle to process data efficiently. This issue impacts the overall responsiveness and loading times of various pages within the platform.
Impact on Cleaning and Ready Pages
Slow loading times are particularly notable on pages like Cleaning and Ready, where maintaining a large number of inactive work items can severely degrade performance. This can result in delays in accessing and processing active work.
How to Enable Auto Archive
Go to Settings → Admin → Workflow → Cleaning and/or Ready Page.
In the Archive Orders if Older than dropdown, select the preferred number of days.
Click Submit to save and activate the feature.
📌 Note: The archiving process may take up to 30 minutes to reflect in your database.
Perform Regular Maintenance on Operational Pages
Periodically review and clean up pages such as Cleaning and Ready to ensure they only display active, relevant orders. This practice keeps these pages streamlined and minimizes load times.
Monitor Now and Adjust Later
Track the performance of CleanCloud after implementing these changes and adjust the configurations as needed. Regular monitoring ensures that the archiving rules remain aligned with your business requirements.
Deadstock Option
For manual archiving, use the Deadstock feature:
On the Ready page, select the desired order.
Go to the Reports tab and choose Send to Deadstock.
This feature marks the order as Completed, allowing future access through the Search page.
Frequently Asked Questions
Q: How can I clean up old orders from a previous owner without affecting metrics or notifying customers?
A: Use the Auto Archive feature. Navigate to Settings → Admin → Workflow → Cleaning/Ready Page → Archive Orders if Older than, then select the timeframe. Archiving marks orders as complete rather than deleting them, so it does not affect your revenue or metrics. Customers will not be notified, and you can still locate these orders through the Search page.
Q: Why is my CleanCloud platform slow to load and process orders?
A: This can be caused by a large backlog of active or old orders. Enabling auto-archiving or manually archiving completed orders helps reduce system load and improve responsiveness.
