User Permissions Guide

Learn how to manage user permissions in CleanCloud, control staff access, and customise roles for orders, payments, invoices, and more.

When adding new staff members to CleanCloud, you can set specific permissions for their user accounts. These permissions determine what actions they can perform within the system. As an admin, you can adjust these permissions at any time.

How to Manage User Permissions

To manage user permissions, navigate to Settings → Users → Manage User Accounts.


User Permissions Overview

Below is a breakdown of the different permission types and what they allow users to do:

Edit Orders

Create and modify orders, including paid or completed ones. Users can also copy orders, mark them as cleaned/ready, process payments, and adjust items, payment types, and dates.

Edit Complete Orders

Modify completed orders.

Edit Paid Orders

Modify orders that have already been paid.

Edit Price List of Order & Customer

Update price lists for both orders and customer profiles.

Delete Orders

Delete orders from the Cleaning page.

Add Discounts to Orders

Apply discounts to orders via the New Order Page or when copying orders.

Add Discounts to Customer Account

Apply discounts directly to customer profiles.

Add Credits to Customer Account

Add credit balances to customer accounts.

Open Cash Drawer Manually

Manually open the cash drawer.

Manage Products & Prices

Add, delete, and edit products, create price lists, and adjust product settings.

Manage User Accounts

View and edit user permissions, and adjust clock-in/clock-out times (Settings → Users).

Add Customers

Add new customers to the POS system.

Edit Customers

Update existing customer profiles.

Manage Invoices

Create, edit, and delete invoices, as well as update payment statuses.

Metrics

Access sales, revenue, and staff performance data; export reports from Settings → Metrics.

Bypass Clock In

Allows a user to bypass clock-in requirements.

Edit Printer Settings

Modify printer configurations via Settings → Hardware.

Marketing

Manage customer notifications and announcements via Settings → Marketing.

Manage Audits

Perform and access audit features.

Manage Admin Settings

Adjust admin settings (excluding Website settings).

Cash Up

Full access to the Cash Up page and related features.

Edit Cash Ups

Modify existing Cash Up records.

Cash Up Confirm

Review and confirm completed Cash Up values.

Allow Visibility of Revenue

Grant access to view revenue data.

Manage Payrolls

Manage payrolls via Settings → Users → Payroll.

Manage Refund

Process and issue refunds.

Export Data

Export reports from Settings → Metrics → Data Export.
