Set Up Workers' Compensation With NEXT Insurance

An overview, setup guide, and further details on Workers' Comp coverage.

Workers' Compensation insurance protects and covers your business against injuries, death, and illness that could occur as a direct result of the work done while your employees are on the job. CleanCloud Payroll and NEXT Insurance work together to deliver a fully integrated online workers' compensation solution.

How Workers' Compensation Works In CleanCloud Payroll

When you set up Workers' Compensation insurance in CleanCloud, we collect various business, employee, and payment information. This information is securely shared with NEXT Insurance, who works with insurance providers to get you the best quote and enroll you in a new policy without ever leaving CleanCloud.

After your Workers' Compensation policy is set up, Gusto sends your payroll information to NEXT Insurance every time you run payroll. NEXT Insurance uses the payroll amount to calculate the Workers' Compensation premium charge, make the necessary payments to carriers, and submits all the paperwork.

Syncing Information

See the categories below to learn what information can sync to CleanCloud Payroll from NEXT, and vice versa.

  • Banking

    • We automatically sync banking information to NEXT, along with any subsequent banking changes.

  • Payrolls

    • We automatically sync payrolls on the check date. The following payrolls will not sync:

      • $0 payrolls (payrolls without wages).

      • Payrolls that only have wages for employees in unsupported states/

      • Payrolls that only have wages for owners that are listed as exempt on the policy.

    • We automatically sync payroll reversals after they're processed. If synced:

      • Before the end of the billing cycle, NEXT will not debit for premiums for the reversed payroll.

      • After the end of the billing cycle, you'll receive a credit for reversed premiums on the next billing cycle.

  • Employee and company updates

    • Every morning, Gusto notifies NEXT of the following changes:

      • Updates to pay schedules

      • New employees

      • Changes to company addresses and work locations

      • Gusto account cancellations

Worker's Compensation Resources By State

Requirements to get Workers' Compensation vary by State—the table below shows the employee-minimum requirement by state, and provides you with the state-specific resource for any other requirements.

How To Setup A New Workers' Compensation Policy

  1. Go to Settings → Admin → Payments & Finances → Payroll

  2. Click the Drop Down Menu by Gusto Onboarding Form.

  3. Select Company Workers' Compensation, and click Open.

  4. Since this is a new policy, select No - we don't have a policy.

    • Note: If you already have workers’ comp, click Yes - we already have a policy, and we’ll ask a few more questions about your current policy.

  5. Click Continue.

  6. Click Get Instant Quote.

  7. NEXT Insurance is requesting access to your account.

  8. Click Connect

  9. Answer a few questions about your company.

    1. Some of this information may be pre-filled based on details you have already shared with us in setting up payroll.

  10. Choose your preferred policy by clicking Get Coverage in the quoting comparison page.

  11. Click Accept terms and conditions after reading the terms and conditions.

  12. Click Issue Policy.

  13. Wait for an email from NEXT inviting you to access your customer dashboard on their platform, where you can download your certificate and view policy details.

Depending on the nature of your business, you may see an instant quote.

If you do not see an instant quote, NEXT Insurance will review your company information and provide you with a quote in the next couple of business days—if they have any questions, they’ll reach out and work on the quote after they have the information they need. Otherwise, you’ll receive an email once your quote has been finalized so you can approve the policy in your CleanCloud account.

How To Approve A Worker's Compensation Policy

  1. Go to Settings → Admin → Payments & Finances → Payroll

  2. Click the Drop Down Menu by Gusto Onboarding Form.

  3. Select Company Workers' Compensation, and click Open.

  4. Click Connect Policy.

  5. Review the policy details and click Connect Policy.

We'll send your forms to NEXT Insurance. Once they’re done processing all the information, your policy will be active, and we’ll email you to let you know. You can go back to the Company Workers' Compensation section and view your policy details under Workers' Compensation Insurance at any time.
