How Workers' Compensation Works in CleanCloud Payroll
When you set up Workers' Compensation in CleanCloud Payroll, the system gathers essential business, employee, and payment information. This data is securely shared with NEXT Insurance, who then matches you with the most suitable provider to offer competitive quotes and policy options—all within your CleanCloud account.
Once your policy is in place:
Every time you run payroll, Gusto sends payroll data to NEXT.
NEXT uses that information to calculate premiums.
Premiums are paid directly to the insurance carrier.
All necessary paperwork is filed automatically.
Syncing Information
Here’s how data flows between CleanCloud Payroll and NEXT Insurance:
Banking
Bank account information is synced automatically.
Any banking updates in CleanCloud are also reflected in NEXT.
Payrolls
Payrolls sync on the check date.
The following payrolls will not sync:
$0 payrolls.
Payrolls with wages only for employees in unsupported states.
Payrolls for exempt owners as listed in the policy.
Payroll reversals are synced after processing:
If reversed before the billing cycle ends: No premium will be debited.
If reversed after the billing cycle: A premium credit will be issued on your next bill.
Employee and Company Updates
The following updates are synced to NEXT daily:
New employees added.
Pay schedule updates.
Company address and work location changes.
Gusto account cancellations.

Workers' Compensation Requirements by State

How To Set Up a New Workers' Compensation Policy
Go to Settings → Admin → Payments & Finances → Payroll.
Click the dropdown next to Gusto Onboarding Form.
Select Company Workers' Compensation, then click Open.
When asked if you already have a policy, select No - we don't have a policy.
If you already have one, select Yes, and follow the prompts to enter policy details.
Click Continue.
Click Get Instant Quote.
When prompted, click Connect to authorize NEXT Insurance access.
Complete the brief questionnaire about your business.
Some info may be pre-filled from your payroll setup.
Review your quotes on the comparison page and click Get Coverage.
Accept the Terms and Conditions and click Issue Policy.
NEXT will email you a link to your dashboard where you can access your certificate and policy details.
📌 If an instant quote isn’t available, NEXT will contact you within a few business days. Once your quote is ready, you’ll receive an email prompting you to finalize and approve the policy in CleanCloud.
How To Approve a Workers' Compensation Policy
Go to Settings → Admin → Payments & Finances → Payroll.
Click the dropdown next to Gusto Onboarding Form.
Select Company Workers' Compensation, then click Open.
Click Connect Policy.
Review your policy details.
Click Connect Policy again to confirm.
✅ Your forms will be sent to NEXT Insurance. Once they process your submission, your policy will be activated.
📩 You’ll receive a confirmation email, and can view your policy at any time under the Workers' Compensation Insurance section.
Manage Job/Class Codes for Your Employees
To manage class codes (add, edit, or remove), log in to your NEXT Insurance customer portal.
This ensures employees are assigned correct classifications, which affects premium calculations.
